 GENERAL TERMS & CONDITIONS FOR INBOUND TOUR

(For Foreign nationals visiting India including NRI, PIO, OCI card holder)

 

All correspondence(s) in respect of Tours / Travel Services and bookings should be addressed to M/S TRAVEL BRIDGE ONLINE,DEHRADUN UTTRAKHAND INDIA

Booking:

By confirming your booking, you establish a contract with M/s Travel Bridge Online. A contract comes into effect when we confirm your tour or travel bookings and receive the deposit amount from you.

Payment:

To confirm your booking for the contracted services, a minimum deposit of 25% of the total land arrangement cost, in addition to the flights or cruise tickets, must be paid to M/s Travel Bridge Online. This deposit is necessary to secure your reservation.

Balance Payment:

Balance payments must be made 25 days before the start date of the services. Any bookings made within 25 working days of the service start date will be considered late, and full payment will be required at the time of booking.

Cancellation, No Show, and Early Departure Policy:

If you need to cancel your tour or travel services for any reason—whether avoidable or unavoidable—we require written notification. Cancellation charges for land arrangements will apply from the date we receive your written notice. The charges will be as follows:

Cancellation Policy:

1. Regardless of the cancellation terms outlined below, if you (the client) cancel your tour or travel services for any reason after making the booking, a minimum service charge of 10% will be applied to the total cost of the tour package.

2. If the tour or travel services are canceled by us (the company) after the booking has been made, you will have two options:

   In both scenarios, any applicable cancellation charges related to flight tickets, hotel bookings, travel services, or guide services will also be deducted.

3. If you cancel your trip after it has commenced, the refund will be limited to the amount that we can recover from the hoteliers, airlines, transporters, and other suppliers. We do not bear any responsibility for refunding unused hotel accommodations, flight tickets, transportation, missed meals, or other services.

4. For special train journeys (such as Palace on Wheels, Deccan Odyssey, Golden Chariot, and Maharajas Express), a separate cancellation policy will apply, which will be provided when necessary.

5. Please be aware that if you cancel bookings during the following periods for any reason, no refund will be issued:

6. Cancellation charges are calculated based on the total booking amount, not the advance payment made.

Refund Policy:

For refunds related to unused or unutilized services that were paid for and canceled in advance, the refund amount will be calculated based on the cancellation policy mentioned above. The money will be refunded to the person who made the payment to us. Please note that the refund process may take 2 to 4 weeks due to banking procedures. If the refund is issued to a credit card or bank account, bank charges may be deducted from the refunded amount.

Mandatory Identification Document:

All guests (Foreign Nationals, NRI’s, and Indian Nationals) must provide a Photo ID at the time of booking confirmation. Documents as per the details given below are applicable for different categories:

Arrival and Departure Policy

Check-In Timings: 12:00 PM – 3:00 PM 

Early arrivals are subject to availability. To guarantee an early check-in, a reservation must be made starting from the previous night.

 Check-Out Timings: 10:00 AM – 12:00 PM 

  Late check-outs are available upon request and are subject to availability and additional payment.

Extra Vehicle Usage:

Please note that the cost for additional usage of vehicles (cars or coaches with a driver) is not included in the standard services. Therefore, any extra usage of vehicles after your transfer or sightseeing is not permitted without prior arrangement.

Special Note for Helicopter Journeys:

1. Helicopter Tickets and Fares: These are subject to availability and may change at any time.

2. Travel Bridge Online Commitment: While Travel Bridge Online strives to ensure that your helicopter ride is confirmed, sudden weather conditions, VIP movements, or other unavoidable circumstances may result in cancellations. In such cases, Travel Bridge Online will make every possible effort to arrange an alternate helicopter journey on the same day or on alternate dates, depending on helicopter availability at that time.

3. Ticket Validity: Tickets cannot be carried over to the next day.

4. Refund Policy: No reimbursement for accommodation, meals, or transportation costs will be provided due to the cancellation of the helicopter journey.

5. Specific Journeys: For specific helicopter journeys (such as Chardham Yatra, Teen Dham Yatra, Do Dham Yatra, Ek Dham Yatra, Vaishno Devi Yatra, and Amarnath Yatra), a separate booking and cancellation policy will apply. This will be communicated on a case-by-case basis.

Our liabilities & limitations:

Please be aware that after the finalization of the tour or service cost, any increases in entrance fees for monuments and museums, taxes, fuel costs, or guide charges imposed by the Government of India will be charged as additional expenses.

Travel Bridge Online rates are based on the current rates negotiated by us with hotels, airlines, and other service providers. Please note that hotels and airlines have the right to change their rates without prior notice. If such changes occur, the rates we previously quoted may also be adjusted to reflect these modifications.

Travel Bridge Online and its associates act solely as agents for hotels, airlines, transporters, railways, and other service providers. All exchange orders, receipts, contracts, and tickets issued by us are subject to the terms and conditions set forth by those service providers. The tickets, coupons, or passage contracts used by the carriers, hotels, or other contractors providing services will constitute the sole contract between the clients and these contractors.

Travel Bridge Online provides sample itineraries that are meant to give you a general idea of what to expect on your trip. Please note that various factors, such as weather, road conditions, and the physical abilities of participants, may necessitate changes to the itinerary either before the tour begins or while on the trail. Travel Bridge Online reserves the right to modify any aspect of the itinerary, including transportation and accommodation, without prior notice. These changes will be made in the interest of the trip and the safety, comfort, and well-being of participants. No rebates, allowances, or refunds will be provided, and any additional costs incurred will be the responsibility of the client.

Travel Bridge Online will not be held responsible for any delays, changes in the program, or expenses incurred, including any special or consequential losses, injuries, or damages—whether directly or indirectly—due to natural hazards, flight cancellations, accidents, breakdown of machinery or equipment, transportation breakdowns, adverse weather conditions, illnesses, landslides, political closures, acts of God, maritime dangers, floods, fires, government actions, wars, civil disturbances, riots, theft, pilferage, epidemics, quarantines, or any regulations imposed by medical or customs authorities. This includes any defaults or other circumstances beyond our control, as well as any unforeseen incidents. Furthermore, clients will be responsible for any liabilities or extra expenses incurred as a result of the reasons mentioned above.

Travel Bridge Online shall not be responsible for, nor accept any liability towards the Clients or their legal representatives for any loss of property or damages resulting from death or injuries—including loss of services—that the Clients may sustain due to the acts, negligence, or defaults of any transportation company, hotel agents, or any other individuals, including their agents or service providers, who provide such services or facilities. This includes any incidents arising from participation in tours, use of transportation, or other services, whether caused by the ownership, maintenance, use, operation, or control of any automobile, bicycle, boat, or other vehicle, whether as a common carrier or otherwise, regardless of negligence or other factors.

Clients using sporting equipment, bicycles, sailing boats, scuba diving gear, or any items hired or supplied by hotels or rental agencies do so at their own risk.

Travel Bridge Online does not offer any insurance policies that cover expenses related to accidents, illness, theft, or other unforeseen circumstances. Visitors are encouraged to arrange for such insurance in their home country. Please note that all baggage and personal belongings are at the client's risk at all times.

Travel Bridge Online reserves the right to cancel any services if it determines that a tour, trip, or passage is impractical for any reason or if circumstances require such action. In the event of a cancellation, the company will refund the value of the services, and the client will not have any further claims against the company for this reason.

Travel Bridge Online reserves the right to refuse service to anyone it deems undesirable at its sole discretion. It is not obligated to provide a reason for this refusal.

Force Majeure:

Travel Bridge Online, along with its parents, subsidiaries, affiliates, officers, directors, employees, agents, suppliers, and their respective successors, heirs, and permitted assigns, will not be held responsible or considered to be in default for any failure to perform or any delay in performance of its obligations, in whole or in part, if such performance becomes impracticable due to circumstances beyond our reasonable control. These circumstances may include acts of war (whether declared or undeclared), sabotage, embargoes, acts of terrorism, riots, civil disturbances, transportation failures, actions by any government or its courts or administrative agencies, natural disasters, fires, explosions, floods, earthquakes, strikes, acts of government, or other catastrophes, as well as pandemics, epidemics, outbreaks of disease, or quarantine restrictions. These events are collectively referred to as "Force Majeure."

Travel Bridge Online (the company) and the client (you) will both make their best efforts to prevent, address, and mitigate the impact of any cause or potential cause of a Force Majeure event. Once the cause of the Force Majeure has ended, the terms and conditions outlined here will fully resume their effect.

However, a Force Majeure event will not exempt Travel Bridge Online (the company) or the client (you) from fulfilling any obligations that were due before the occurrence of the Force Majeure.

Jurisdiction Clause :

All the disputes arising out of this agreement or any other subsequent agreement would be subject to Dehradun Courts only.

Special Note:

(For Indian nationals visiting within the country)

 

All correspondence regarding tours, travel services, and bookings should be addressed to M/s.Travel Bridge Online.

Booking:

Upon confirmation of your booking, your contract is with M/s Travel Bridge Online. A contract is established when we confirm your travel services and have received your deposit.

Payment:

To confirm your booking with M/s Travel Bridge Online, a minimum deposit of 25% of the total land arrangement plus full payment of the flight or cruise cost is required. This deposit will secure your reservation.

Balance Payment:

The balance payment must be made 15 days before the start date of the services. Any bookings made within 15 working days of the service start date will be classified as late bookings. For these late bookings, the full payment is required at the time of booking.

Note: In addition to the above, for bookings related to special train journeys, fixed or group departure flight tickets, and hotel or resort reservations during peak seasons (such as Christmas, New Year, Pushkar Fair, Diwali, etc.), full payment is required at the time of booking.

(For Indian Nationals Traveling Outside India)

 

All correspondence regarding tours, travel services, and bookings should be addressed to M/s.Travel Bridge Online.

Booking:

Upon confirmation of your booking, your contract is with M/s Travel Bridge Online. A contract is established when we confirm your travel services and have received your deposit.

Payment:

To confirm your booking with M/s Travel Bridge Online, a minimum deposit of 25% of the total land arrangement plus full payment of the flight or cruise cost is required. This deposit will secure your reservation.

Balance Payment:

The balance payment must be made 15 days before the start date of the services. Any bookings made within 15 working days of the service start date will be classified as late bookings. For these late bookings, the full payment is required at the time of booking.

Even after paying a 25% advance to confirm your bookings, you may still need to provide an additional advance payment before the final balance payment date. This requirement depends on the contractor or supplier's payment deadlines, which may apply as necessary.

Note:

According to government regulations, a 5% Tax Collected at Source (TCS) will be applicable on expenditures for international holiday packages for cumulative spends up to Rs 7 lakhs within a financial year. For any expenses exceeding Rs 7 lakhs during the same financial year, a TCS of 20% will apply.

Cancellation, No-Show, and Early Departure Policy:

Once a booking is made, all services, including airline seats, hotel accommodations, and ground transportation, are reserved. We are obligated to pay our suppliers and vendors the agreed charges, including penalties, if these services are canceled or released within the time frames outlined below. 

If you need to cancel your tour, please notify us in writing. The cancellation charges per person are as follows:

30 days or more before departure: 25% of the total tour cost
29 to 15 days before departure: 50% of the total tour cost
14 to 8 days before departure: 75% of the total tour cost
7 days or less before departure or in case of a No-Show:100% of the total tour cost
Cancellations or amendments made while on tour:** 100% of the total tour cost

Please note that in some cases, cancellation charges may vary and will be communicated to you on a case-by-case basis.

Cancellation Policy:

1. Regardless of the cancellation terms mentioned above, if you (the client) decide to cancel your tour or travel services after making a booking with us for any reason, a minimum service charge of 10% of the total cost of the tour package will apply.

2. If we (the company) need to cancel your tour or travel services after your booking has been made, you will have two options:
   - We can issue you a Credit Note for the booking amount paid, which can be used at any time in the future by you, your family members, friends, or anyone you recommend.
   - If you prefer a refund, a minimum service charge of 10% of the total cost of the tour package will be deducted, and the remaining balance will be refunded to you. 

In both scenarios, cancellation charges related to flights, hotel bookings, travel services, or guide services will also be deducted from the client.

3. If you cancel your trip after it has begun, the refund will be limited to the amount we can recover from hotels, airlines, transportation providers, and other suppliers. We will not be responsible for refunding any amounts for unused hotel accommodations, flight tickets, transportation, missed meals, or other services.

4. The cancellation amount is based on the total booking amount, not just the advance payment made.

High Season / Trade Fairs / Festivals

Special conditions will apply for bookings during high season, trade fairs, or festivals, and these will be communicated at the time of booking.

Scope of Activity  
We are travel and holiday organizers only. We do not control or operate any airlines, nor do we own or control any shipping companies, coaches, hotels, or other facilities mentioned in this manual. We take great care in selecting all components of a client’s holiday. However, since we only select and inspect these services and do not manage them, we cannot be held responsible for any injury, death, loss, or damage caused by the actions or defaults of the management or employees of any hotels, airlines, shipping companies, or coach operators, who are independent contractors of our company. Such issues arising outside of our normal selection process are not our responsibility.

Hotel Check-In and Check-Out Timings
Typically, check-in at hotels worldwide is at 2:00 PM or 3:00 PM, and check-out is at 12:00 PM. Early check-in and late check-out are subject to availability at the hotel and cannot be guaranteed under any circumstances. If clients arrive early in the morning and require their room upon arrival, they must request room confirmation for the previous night.

Itinerary Accuracy / Change
All information provided in the itinerary is based on details available at the time of sharing the quote. We reserve the right to change any itinerary information before or after booking the tour due to events beyond our control. If we are aware of any changes in advance, we will notify you at the time of booking; otherwise, our local representative will inform you of any changes. Major road work may necessitate route changes in the itineraries, and Indian restaurants may close or change management, which may require us to adjust the itineraries. If we know of these changes in advance, we will let you know; otherwise, our local representative will provide updates on the spot. Clients are responsible for adhering to the schedule throughout the tour. If a client misses any part of a sightseeing tour or activity due to personal delay, they will not be entitled to a refund for that portion. 

Our company shall not accept any liability for damages, loss, baggage loss, injury, accident, death, breakdowns, or irregularities that may occur during the tour arrangements, including disruptions due to weather conditions, strikes, war, quarantine, or any other cause. All such losses or expenses must be borne by the client. We reserve the right to claim any additional expenses incurred due to delays or changes in the schedules of trains, airplanes, buses, ships, or other services. We also reserve the right to amend, alter, vary, or withdraw any advertised excursions or to substitute a hotel with one of a similar category if deemed necessary. By booking, you consent to any amendments or alterations in the itinerary. These terms should be read in conjunction with the itinerary, but they will prevail over the itinerary should there be any contradictions or conflicts.

Hotels:

You are responsible for all baggage and personal belongings at all times, under all circumstances. The company will not be liable for any loss, theft, or damage to these items from hotel premises, the coach, cruise, airport, or during travel and visits. Some hotels offer safe deposit lockers for your use, but this is at your own cost and risk; the company is not liable for any loss or theft from these lockers. Any damages caused to hotel rooms, the coach, or places visited during your stay/tour will be your responsibility, and the company will not be liable for these costs. The company is also not liable for any disruption or issues with phone and internet services, or other amenities while you are staying at the hotel. Additionally, the company is not responsible for the services provided (or not provided) in the room, bathroom, or hotel premises by the hotel or its staff. Unprofessional or rude behavior by hotel staff does not fall under the company's purview, and they will not be held responsible for it. Facilities such as mini bars, pay television channels, and telephones are not complimentary. Charges for these services must be paid directly to the hotel by the client and are not included in the tour cost. Clients must adhere to the hotel’s check-in and check-out times. Any changes made directly by the hotel are beyond the company’s control, and no compensation will be offered due to these changes. 

Airlines:

The company shall not be liable to the client or any person traveling with them in any circumstances for loss of baggage by the airline, failure to provide the client’s meal of choice, overbooking of seats, failure to accommodate clients despite having confirmed tickets, the quality of meals offered by the airline, flight delays, missed flights, or changes in flight schedules, routing, or airlines mentioned at the time of booking. This includes situations caused by negligence on the part of the client or the service provider. If a client is booked on a specific airline for a particular date and is not allowed to board the flight for reasons beyond the company’s control, the client cannot hold the company responsible, and no claims can be made against the company. All bookings, cancellations, and changes related to airline tickets are subject to the terms and conditions of the respective airlines, which can be provided to the client upon request. Airlines operate based on their own rules and regulations, and clients must strictly adhere to them.

Loss/Damage:

The company is not responsible for any loss or damage to personal belongings during your stay in the hotel or while traveling in the coach. If there is a theft or loss of baggage, it is the tour participant's responsibility to lodge a complaint with local authorities at their own cost, risk, and consequences.

Accommodation for Children Under 12 Years:

Please be aware that a child under 12 years of age who is booked on the tour at a special rate without a bed will not be provided with a bed in the hotel under any circumstances. If the client makes any changes to their rooming while on the tour, the company will not issue any refunds or compensation for those changes. If the client decides to change their rooming subject to availability, they will be required to pay an additional cost accordingly.

Cancellation Due to Visa Rejection:

All clients traveling with M/s Travel Bridge Online must possess a valid visa. Clients are responsible for ensuring that their Visa Application Form(s) are thoroughly completed and verified to their satisfaction before submission to the Embassy or Consulate. Please note that the decision to grant or reject a visa is solely at the discretion of the relevant Consulate or Authorities, even if all necessary documents have been submitted. The company cannot be held responsible for such decisions, nor does it have any influence over the Consulate or Embassy’s outcome. The company’s role is strictly to provide guidance to clients during the visa application process. We will not be liable for any non-issuance of a visa resulting from incomplete or delayed document submission by clients. 

It is possible for the Consulate to require clients to attend a personal interview, which is also at their discretion. If the necessary documents are not submitted by the client, the issuance of the visa may be delayed or denied, and the client agrees not to hold M/s Travel Bridge Online liable for such outcomes. Clients must comply with all rules and conditions set forth by the Consulate or Embassy. Should a visa be rejected and the client wishes to reapply, they will be responsible for paying the requisite fee again and may not seek reimbursement from M/s Travel Bridge Online.

Privacy of Information:

We treat all information provided by you as confidential. However, you consent to and authorize us to share any information pertaining to you with airlines, hotels, or other service providers involved in your tour, as well as with fellow travelers. You acknowledge that we may be required to disclose information provided by you if mandated by law or by an order from a court or any government agency with regulatory authority over the company.

Communication:

Any communication sent to the address or made through the contact details, such as email, cell phone, telephone number, or fax number, provided by you at the time of booking shall be considered as communicated to and received by you. The company is not responsible for any errors related to the method of communication in this regard.

Conditions of Travel:

A) The prices quoted are based on the exchange rates and costs at the time the quotation is provided. The Company reserves the right to adjust prices due to currency fluctuations, changes in gross rates of exchange, fuel costs, or special/high season charges levied by suppliers, as well as increases in airline or rail charges prior to the departure date. Clients must pay any such price increases in full before departure.

Other Terms:

The Company reserves the right, at any time and for any reason, to terminate this contract after receiving the deposit but prior to the commencement of the tour without providing any justification. 

The Client confirms that the address provided for the booking is accurate and complete, and this address will be used by the Company to determine the "location of the Client" for the purposes of applying Goods and Services Tax.

Force Majeure:

Travel Bridge Online, along with its parents, subsidiaries, affiliates, officers, directors, employees, agents, suppliers, and their respective successors, heirs, and permitted assigns, will not be held responsible or considered to be in default for any failure to perform or any delay in performance of its obligations, in whole or in part, if such performance becomes impracticable due to circumstances beyond our reasonable control. These circumstances may include acts of war (whether declared or undeclared), sabotage, embargoes, acts of terrorism, riots, civil disturbances, transportation failures, actions by any government or its courts or administrative agencies, natural disasters, fires, explosions, floods, earthquakes, strikes, acts of government, or other catastrophes, as well as pandemics, epidemics, outbreaks of disease, or quarantine restrictions. These events are collectively referred to as "Force Majeure."

Travel Bridge Online (the company) and the client (you) will both make their best efforts to prevent, address, and mitigate the impact of any cause or potential cause of a Force Majeure event. Once the cause of the Force Majeure has ended, the terms and conditions outlined here will fully resume their effect.

However, a Force Majeure event will not exempt Travel Bridge Online (the company) or the client (you) from fulfilling any obligations that were due before the occurrence of the Force Majeure.

Jurisdiction Clause :

All the disputes arising out of this agreement or any other subsequent agreement would be subject to Dehradun Courts only.
